What is a Special Community MemberÌý(SCM)?
AÌýSpecial CommunityÌýMemberÌý(SCM)Ìýis anÌýindividualÌýwhoÌýisÌýnotÌýanÌýemployeeÌýorÌýstudentÌýbutÌýwho needsÌýaccess to variousÌýuniversityÌýresourcesÌýin order toÌýpartnerÌýorÌýcollaborateÌýwithÌýtheÌýuniversityÌýfor the benefit of the university.ÌýThese university resources may include financial (i.e., software licenses), physical (i.e., building/room access), and/or technological components.ÌýÌýA SCM isÌýtypically notÌýpaidÌýandÌýonly needs access to resources on a temporary/assignment basis. VendorsÌýare notÌýSCMsÌýunlessÌýthey have a contractual relationship with ³Ô¹Ï´ó±¾Óª requiringÌýtechnology/accessÌýto complete their work.ÌýÌýThis request/review process allows the university to monitor and ensure that access to the ³Ô¹Ï´ó±¾Óª community and our resources are being handed out and managed appropriately.Ìý
AllÌýSCMsÌýare required to have a completed background checkÌýthat meets ³Ô¹Ï´ó±¾Óªâ€™s standards.ÌýThe only exception to this rule is a vendor with a special contractual relationship with ³Ô¹Ï´ó±¾Óª where the background check is completed by the vendor as outlined in the contract. Such vendorsÌýincludeÌýAramark, Sodexo,ÌýAimHireÌýandÌýthe Denver Art Museum (DAM).Ìý
Procedures for Entering a SCM:
Step 1:ÌýBackground ChecksÌý
The potentialÌýSCMÌýmust have aÌýcompletedÌýbackground checkÌýon fileÌýPRIORÌýtoÌýsubmittingÌýthe workflow request.ÌýIf a potential SCM does not have a background check on file,Ìýthe sponsorÌýwill need to initiate one for them.Ìý Once it isÌýcompletedÌýandÌýapproved, the sponsor can enter the SCM for approval in the workflow.Ìý
To initiate background checks, the sponsor will need HireRight access. If you do not have access, check with your Business Officer to see if they can initiate the background check. If not, you can request access to HireRight through HRIC Talent Acquisition and Development.
If the third party vendor has completed the background check, when submitting the request, please read and sign the attestation form confirming that the individual has a completed background check:Ìý
Step 2:ÌýEnter the SCM’s Information into WorkflowÌý
The SCM process is completed via a workflow in . On the left, scroll down to Pages>Employee Resources>Administrative Resources & Processes>Special Community Members and Volunteers, or type into the search bar and select the Administrative Resources & Processes page:
Select SCM form or Volunteer Faculty Hire, depending on your needs.
After you click on the link you will be directed to the SCM Page (note: you can also check on the status of pending requests here):
You will be prompted to enter the user's ³Ô¹Ï´ó±¾Óª ID and select the appropriate Action: "New Request", “Renewal Requestâ€� (for extensions), or "Remove Request"
For new submissions with ³Ô¹Ï´ó±¾Óª ID, enter the person's ³Ô¹Ï´ó±¾Óª ID# and select from the search box:
NOTE: The ID is created during the background check process which is required prior to submitting the workflow. If the SCM is an approved vendor (Aramark, Sodexo, AimHire, etc.) select ‘Special Community Member does not have ³Ô¹Ï´ó±¾Óª ID’. All other vendors must have a background check.Ìý
You will need to enter the Vendor/ Relationship for the SCM whether or not they have a ³Ô¹Ï´ó±¾Óª ID#. Please use 'Other' and provide the necessary context if the user is not coming from the pre-approved vendor list. If this is a pre-approved vendor without a ³Ô¹Ï´ó±¾Óª ID select ‘Special Community Member does not have a ³Ô¹Ï´ó±¾Óª ID’ and select which Vendor from the Vendor/ Relationship list:
Hit the next button and enter in the SCM's personal email at the following screen. Be careful to spell their personal email correctly as login information will be sent here. Select the Division code that this individual falls under from the drop-down:

Note: Access will be allocated based on the type of SCM group chosen and the items selected. Please check off yes or no for each of the resources listed:
Note: Division file share will be allocated based on the division code selection higher up on the page.
Reason for Requesting SCM Status/Access for Individual:Ìý
You must enter a comment in the “Reason for Requesting SCM Status/Access for Individualâ€� text box.Ìý This explanation needs to detail what the individual will be doing for the department/university and why they require access to university resources. This description will be used in the review and approval process for the request.Ìý If an explanation is not entered, the request will be returned.Ìý
Optional CC for completed email:
Use this box to send a CC (email copy) of the SCM notification email for other colleagues. This list will only populate benefitted employees.

Note: The Division Head/ Budget Officer is decided based on the Home Organization of the SCM selected during the request in the SCM form.Ìý
Once submitted, you will see a pop-up notification on the following screen.
Here you can view a list of your recent submissions. This screen is also available by clicking on the "Requests Initiated by Me" link on the left side of the page.
Pending Approvals will show a detailed view of where the SCM request is currently in the workflow, and who is the current approver.
Step 3: NotificationsÌýÌý
The SCM will receive a confirmation to their personal email once the access is approved. The ³Ô¹Ï´ó±¾Óª sponsor and Division Approver will also receive a confirmation message as well as any other users selected in the "Additional CC for Completed Email" box.
Reports:
ÌýUse the Reports link on the left to view a greater list of SCM requests submitted by your division.
In either of the tabs, you can view further detail by clicking on the column headings to filter:
Approvals:
Division and other approvers will see the My TasksÌý tab on the left side of the page. Here you can view any requests from your division that are awaiting your approval. Please note that this menu must be accessed through the .

When is a new background check needed?ÌýÌý
SCM background checks are comparable to requirements for employee background checks. A new background check is needed anytime there is a gap in access/activity 90 days or greater. Contact University Financial Services for more information.

How long is SCM access granted for?Ìý
SCMÌýaccess is automatically provisioned for oneÌýyear fromÌýtheÌýrequest date, unless noted otherwise. At the time of renewal, a renewal request must come from the SCM sponsor.ÌýSCMsÌýcannotÌýrequest an extension on their own behalf.Ìý

What is the process for extending SCM access?Ìý
The sponsor can request to renew access for a SCM if the SCM’s access has recently expired within the past 90 days. This will be completed via the Renewal Request workflow:Ìý

Who receives login instructions and who gets notified when an SCM expires?ÌýÌý
The SCM and theÌýSCM sponsor will both receive the email communication withÌýinitialÌýinstructions forÌýlogin, approximately 24 hours after approved.ÌýThe SCMÌýand sponsorÌýwill receive a notification messageÌýstatingÌýthat theÌýSCMÌýaccount is set to expire around the time of renewal.Ìý

DoÌýfaculty teaching on a volunteer basis need to be set up as SCMs?ÌýÌý
Yes. Volunteer Faculty fall under the heading of SCM in order to access technology, library, and/or building resources. In rare circumstances, some users may need to submit aÌý under the Administrative Resources & Processes section on My4D, ONLY IF an individual needs to be the Instructor of Record for a course and there is some exceptional situation that prevents the University from paying them directly.
Do student workers need to be set up as SCMs?ÌýÌýÌý
No,ÌýstudentsÌýshould not be SCMs. IfÌýaÌýstudentÌýemployeeÌýneeds updatedÌýaccess,Ìýthey should have their supervisorÌýsubmitÌýa ticket with IT viaÌýsupport@du.eduÌýto update their access.ÌýOtherwise, students should have the necessary access needed for their role.ÌýÌý

How can I add a SCM to a Departmental Email or File Share?
Please email support@du.edu to open up a ticket with IT to request departmental email access or file share access for a Special Community Member. These requests should be separate tickets; one request per ticket.
Specific shared drive access can be requested via a ticket with IT, and the request must come from the ³Ô¹Ï´ó±¾Óª employee sponsor. Sponsors must indicate the full path of the Shared Drive in the request, and the ³Ô¹Ï´ó±¾Óª ID# of the person who needs access to the drive. For example, “Please prove John Smith, 87..., with access to driveÌýÌý\\shares.du.edu\divisions\admissions\communicationâ€�

Can SCMs get Adobe Creative Cloud access?
Yes, visit for more information on requesting Creative Cloud for existing SCMs. As of December 2021, all new Special Community Members have a checkbox option to select which Adobe Creative Cloud resources are needed at the time of account creation.
